Timeline
The main ballroom will be available for setup no earlier than 3:00 PM on the day of the event. Studio A may be used for deliveries and staging the day before between 12:00 PM and 8:00 PM, as well as on the day of the event from 10:00 AM to 3:00 PM.
All events must conclude no later than 12:00 AM (midnight), with all vendors and guests required to vacate the premises by 1:00 AM. The band or DJ must stop playing at the designated event end time.
Additional time can be purchased in hourly increments if needed. The Client will be charged a minimum of an hour for any additional time taken before or after the event.

Event Planning & House Manager
CB Event Center provides an event coordinator to compile event order, floor plan and rental order. Included in the rental fee is an initial planning meeting which may be before or after signing of contract and a final planning meeting which should be scheduled within thirty (30) days before event. Additional meetings may be scheduled for an additional fee.
A House Manager will be on-site on the day of the event to coordinate vendors, provide directions, and assist guests. They will also be available to address any needs the Client may have, such as climate control, restroom supplies, and other event-related requests.

Floor Plan
A scaled floor plan will be provided to the Client by CB Event Center within one week after the final planning meeting (See 19. Event Planning). Floor plans must be finalized and approved by the Client at least two (2) weeks prior to event.

Vendors
Vendors, such as musicians and caterers, who are hired by the Client are also bound by the terms of this agreement. Responsibility for enforcement of the terms resides with the Client.
A complete list of vendors and contact information must be provided to CB Event Center no later than 2 weeks prior to your event. We will work directly with your vendors to arrange arrival times for vendors and deliveries.

Alcohol Service & Liability Policy
CB Event Center does not have a liquor license. All alcoholic beverages must be served by a insured bartender in the State of Minnesota. Bartender must provide certificate of liquor liability insurance to CB Event Center within 30 days of the event. Provision of liquor is determined by bartender and their liquor liability coverage requirements. Client assumes all liability for liquor service at CB Event Center.
Bar service is required to end 30 minutes before the departure time of guests. Food must be served with any alcohol service.

Catering
All outside caterers must be licensed to prepare food offsite. They must provide a copy of their business license and certificate of liability insurance to CB Event Center at least 2 weeks prior to the event. Catering staffing is required for all events and are responsible for all clean up due to food and beverage service.

Prep Kitchen Use
Prep kitchen in the upper level staff lounge is available for the Client or caterer’s use. All paper and disposable products (cups, napkins, spoons etc) are not available for use. Client must provide their own paper and disposable products. Any food put into prep area before the function must be marked clearly with name, date and type of function. All food must be removed from the kitchen immediately after the function. Do not use food that is found in the refrigerator unless it is marked as the Client’s. Open flame food preparation is not allowed within or around the CB Event Center premises.

Furniture & Rental Policy
CB Event Center is the exclusive rental provider for CB Event Centerof furniture and large items. This includes but is not limited to tables, chairs, staging, and bars. Soft goods such as linens, silverware, china etc. are available for rent but are not required to be rented through CB Event Center and can be provided by the Client, the Client’s caterer or any other of the Client’s vendors. All items provided by CB Event Center will be installed or set-up as per the event order specific to the event. Rental items can be removed from the Client’s rental order up to two (2) weeks and added up to three (3) business days prior to event.
Items rented directly by the client can be delivered during the timeframes listed above and must be picked-up immediately after the event. We do not allow overnight/over weekend storage of rental items. CB Event Center reserves the right to refuse delivery of items that arrive outside of the agreed upon timeframe on the event order.

Parking, Load-In & Load-Out
Guest parking is available on the street, in the Grove parking ramp (accessible from St. Clair Avenue), and behind 272 Snelling Avenue (behind Hot Hands and Chips). Vendor parking is limited to on-street parking only. Vehicles may not park on the sidewalk or in the side alley.
All load-ins and load-outs must take place via the rear entrance through the side alley. All decorations and any other articles brought into the facilities must be removed at the end of the event. Any items left longer than 5 days will be considered abandoned and disposed of unless you have made other arrangements.

Sound System Use & Audio Equipment
Included in the rental fee is the ability of the Client or Client’s vendor to use their own audio player to be connected to the CB Event Center sound system by the event house manager. Operation of Client's or Client's vendor's equipment is the responsibility of the Client.
Use of the CB Event Center sound system is strictly limited to CB Event Center staff. Staff may be hired to run the sound system for $75 per hour.
A microphone will be available for speeches and announcements for the duration of the event.

Centerpieces & Place Cards
Installation of centerpieces, table numbers and/or place cards are included in the provided the centerpieces are delivered and fully assembled one and a half (1.5) hours before the start of the event. If table numbers/labels are used, a copy of the CB Event Center provided floor plan indicating which table number/label to place on each table must be provided at least one (1) day before the start of the event. Only a marked up copy of the CB Event Center provided floor plan will be accepted. Place cards must be provided in alphabetical order if they are to be placed together or divided by table in order of seating arrangement if they are to be placed at each place setting.

Decorations
All signage, decor and decorations must be provided no later than 2 weeks before the event to be pre-approved by CB Event Center. Rice, birdseed, confetti, glitter, silly string, bubbles, and live animals are prohibited.
No tacks, adhesives, nails, staples, glue etc. on walls or ceiling.
Candles in an enclosed container (i.e. votive candles) will be permitted. Container must be taller than the flame. No tapers or open flames are allowed.
Existing material cannot be removed from the walls, windows, floors or tables without permission from CB Event Center or details of such removal detailed on the event order.
If these rules are not observed, it may result in the loss of part or all of the damage deposit.

Deliveries
Deliveries prior to event must be scheduled with CB Event Center. They can be made as early as the day before or day of the event during normal business hours.

Outdoor Noice Policy
No dancing or amplified entertainment is allowed outside the CB Event Center facility including but not limited to the front area, the parking lot west and the alley west and south of the building.

Guest Conduct
The caterer and/or bartender working the event or a CB Event Center representative has the right to ask any person to leave the premises who is causing a disturbance in any way.

Proper Use of Premises
Clients shall make no unlawful, improper or offensive use of the premises.

Smoking
Smoking is strictly prohibited inside the facility and at the front entrance. It is only permitted in the designated area outside the rear door of the property.

Insurance
A certificate of insurance from the Client's insurance company, naming Cinema Ballroom LLC as an additionally insured party must be provided at least 2 weeks prior to the event.

Lost & Found
CB Event Center is not responsible for the loss of any personal items, including gifts, during a function. Client is responsible for all items left behind by guests.

Damage
The Client is fully responsible for any damage or loss to the premises or any objects contained therein, during the function. This includes carpet stains (wax, red wine, gum, etc) and scratches to floor surfaces. The Client will be billed a minimum of $300 for any repairs, replacement charges or excessive cleaning after the event.

Cancellation & Refund Policy
In the event of fire, catastrophe, or events beyond the control of CB Event Center that prevents a scheduled event from going forward that scheduled event shall be cancelled. CB Event Center shall refund Client’s deposit within ten days of said cancellation. In the event that CB Event Center shall terminate operations as an event center, CB Event Center shall give the Client one hundred and twenty days written notice of said termination and the scheduled event shall be cancelled at the end of said one hundred and twenty day period or sooner at Client’s option. CB Event Center shall refund Client’s deposits within ten days of said cancellation. Client agrees that if a scheduled event is cancelled by CB Event Center, CB Event Center shall not be liable for any damages or fees associated with relocating of any kind whatsoever.

Pets
Non-service animals are permitted on site for wedding ceremonies. They may arrive up to one hour prior to the ceremony to allow time for photos and participation in the ceremony. All pets must remain on a leash with a designated caregiver at all times. Pets must be removed from the premises immediately once alcohol service begins.
